Configuring Google Workspace Email Settings for Ella

Modified on Wed, 04 Jan 2023 at 11:30 AM

Some schools using GSuite for Education block the ability of students to send and receive email messages to and from email addresses outside of the school’s domain. However, when those schools provide to their students cloud-based software applications such as Tabula Learning to support learning, emails from those cloud-based services will be blocked such that students may not receive important notifications and alerts.

GSuite for Education has the ability to whitelist specific email addresses or domains such that students will still be blocked from sending emails to external email addresses and receiving from most external email addresses, but the email address or domain used by the cloud-based software application will be allowed to deliver email messages to students.

This document is intended to help school Information Technology personnel in configuring GSuite for Education to allow emails from Tabula Learning to be delivered to students without changing the rest of your email security policies.

Adding a Whitelist Entry in Gmail

To add a whitelist entry to your gmail configuration, login to your Google Workspace for Education administration console at https://admin.google.com and follow these instructions:

  1. From the home page of the admin console, click “Apps”, then click “G Suite”.
  2. Find the row for Gmail, and click on that row to open the Gmail settings.
  3. Click on either “Advanced Settings” or “Compliance” depending upon which of those options is available in your menu.
  4. On the left side of the screen, select the organization for which  you want to configure settings. Most schools put students into one organization and staff and faculty into another in order to manage policies independently for each group of users (i.e. faculty/staff are able to send and receive emails to and from external addresses while students are not).
  5. Under “Compliance”, find the setting named “Restrict Delivery”. This settings has presumably been previously configured to block mail to and front external addresses. Click the link to “Add addresses or domains that you want to allow”.
  6. Create a list by giving the list a name such as “Tabula” or “Cloud-Based Services” and clicking “Create”. The list will appear with “(0)” next to the name of the list.
  7. Click on the list to show the table where you can add email addresses or domains to the whitelist.
  8. Click the plus sign and add “tabulalearning.com” as a domain to the list. Do NOT deselect the checkbox for “Require sender authentication” as this will ensure that messages received by students are sent by Tabula Learning and not spoofed by someone attempting to appear to be from Tabula Learning.

NOTE: Employees of Tabula Learning will NEVER send emails directly to students on the system. This setting is ONLY configured to ensure that email from the Tabula Learning application is able to be delivered.
